Roles & Permissions

Every member of a online group has one of three roles: ADMIN, MEMBER, or VIEWER. Roles determine what actions a person can take within that group.

note

Radio groups do not enforce roles, all members have equal access to every map action and the chat. Role-based restrictions only apply to online groups.

¹ A Member can archive, unarchive, or delete an item they created. They cannot archive, unarchive, or delete another member's item, only an Admin can do that on any item.


Viewer​

VIEWER

A Viewer can see the map, pins, routes, and areas in the group, but cannot make any changes, access the chat, or share their location. Use this role for stakeholders who need map visibility without any interaction access.

Viewers see a VIEW ONLY badge in the group header to indicate their restricted access. Members and Admins see a LIVE badge (or CONNECTING… while loading) instead.


Member​

MEMBER

The default role when someone joins via invite code. Members are full participants: they can annotate the map, chat, send voice notes and photos, comment on map items, and share their location.

Any member can edit any map item's details or attachments, regardless of who created it, the map is a shared space for day-to-day editing. Archiving or deleting an item is restricted to whoever created it (or an Admin), so one member can't remove another's work.


Admin​

ADMIN

Admins have full control: they can manage the member list, change group settings, and control the invite code, and can archive, unarchive, or delete any map item regardless of who created it. The person who creates a group is automatically the first admin.

Organizations

If a group belongs to an organization, that organization's Admins are automatically treated as Admins in every group under it too, even if they've never joined the group directly. See Organizations →.


Changing someone's role​

Open settings

Tap Menu (☰) in the command bar, then tap Settings.

Find the member

Find the member in the Members list.

Tap Role

Tap Role.

Select a new role

Select the new role: VIEWER, MEMBER, or ADMIN.

The change takes effect immediately.

note

You cannot change your own role. You also cannot demote the last admin in a group.


The last admin rule​

A group must always have at least one admin. If you're the only admin:

  • You cannot leave the group without first promoting another member to ADMIN
  • You cannot change your own role to MEMBER or VIEWER

To leave, promote someone else to Admin first, then leave.
